1. Vendor agreement
These Vendor Terms supplement the RokaOS Terms of Service and apply to every person or business creating, claiming, managing, or responding through a vendor account. You represent that you are at least 18 and authorized to bind the vendor business.
2. Accurate profiles and evidence
Keep the legal/business name, ownership, contact information, service areas, categories, cultural experience, languages, portfolio rights, prices, availability, licences, insurance, and verification evidence complete and current. Price ranges are guidance unless a quote says otherwise. Do not claim availability that has not been confirmed.
3. Approval and verification
Listing approval and verification are separate platform decisions. Verification reflects only the evidence and checks described at the time and may expire, be removed, or require renewal. It does not guarantee quality, safety, insurance, availability, cultural fit, pricing, or performance. Vendor Pro never purchases approval, verification, reviews, or organic ranking.
4. Leads, quotes, and communications
Use couple and wedding information only to evaluate and respond to the specific inquiry, prepare a requested quote, manage a resulting booking, and meet legal obligations. Do not add a couple or guest to marketing lists without separate valid consent. Identify the business, provide accurate contact information, honour unsubscribe requests, and comply with Canada's anti-spam requirements for commercial messages.
Quotes must clearly identify included services, currency, taxes and mandatory fees, exclusions, deposit and payment schedule, expiry, cancellation/refund/rescheduling terms, and any material assumptions. Do not hide mandatory fees or use unattainable advertised prices.
5. Couple data and confidentiality
Couple, guest, budget, schedule, document, and inquiry information is confidential. Do not scrape, sell, disclose, train AI on, or reuse it for another purpose. Limit staff access to people who need it, use reasonable safeguards, report suspected compromise promptly, and delete information when no longer reasonably required for the inquiry, booking, dispute, or law.
6. Direct vendor contracts
The vendor, not RokaOS, is responsible for its services, staff, subcontractors, licences, permits, insurance, taxes, contracts, deposits, refunds, cancellations, delivery, health and safety, and compliance with venue and institutional requirements. Unless expressly stated in a checkout, RokaOS is not a party, agent, employer, insurer, guarantor, or payment trustee for the vendor-couple contract.
7. Reviews and marketplace integrity
Do not offer incentives conditioned on a positive review, review your own business, coordinate false reviews, retaliate against reviewers, or misrepresent booking-linked status. Responses must be professional and must not expose private customer information. Sponsored placement, if offered, will be labelled and cannot alter organic matching.
8. Subscription tools
Paid vendor tools are governed by the Subscription Terms. RokaOS does not promise any number, quality, or conversion rate of leads. Subscription cancellation does not erase legal obligations or an outstanding vendor-couple contract.
9. Moderation, complaints, and appeals
RokaOS may request evidence, pause publication or lead access, remove a badge, suspend a profile, or preserve records while investigating safety, fraud, privacy, review, billing, or accuracy concerns. Except where immediate protection is needed, the vendor will receive a reason and an opportunity to respond or appeal through support. Repeated, serious, or dishonest conduct may lead to termination.
10. Vendor content and brand use
You grant RokaOS a limited licence to host, resize, display, and distribute submitted business content to operate and promote the marketplace. You must own or have permission for every logo, image, testimonial, description, and mark. RokaOS trademarks may not be used to imply endorsement or a verification status not currently granted.
11. Vendor responsibility and indemnity
The vendor will defend and indemnify RokaOS and the people operating it from third-party claims, penalties, losses, and reasonable costs arising from the vendor's services, staff or subcontractors, profile or portfolio content, privacy or anti-spam violations, licences or insurance, taxes, quotes or contracts, customer injury, infringement, fraud, or material breach of these Vendor Terms. This obligation is reduced to the extent a claim was caused by RokaOS's own breach, negligence, or unlawful conduct.
The disclaimers and liability limits in the Terms of Service apply to vendor use. They do not limit responsibility that applicable law does not permit a party to exclude.
12. Changes and contact
Material changes receive a new version and renewed acceptance or notice where required. Contact vendors@rokaos.com for onboarding, moderation, billing, or appeals, and privacy@rokaos.com for privacy questions. RokaOS is operated as a British Columbia, Canada business. A complete service address will be displayed before public charges are enabled.
