Terms of Service

These Terms govern use of RokaOS, a founder-operated wedding-planning workspace and vendor marketplace based in British Columbia, Canada. By creating an account or accepting an invitation, you agree to these Terms and the Privacy Policy. You must be at least 18 years old and legally able to agree.

Provide accurate information, protect authentication credentials, and promptly report unauthorized access. The wedding owner controls the workspace, billing, deletion, and ownership transfer. Partners and collaborators receive only their assigned role and event scope. An invitation must be sent only to someone authorized to receive the wedding information it exposes.

You are responsible for removing access when it is no longer appropriate and for activity performed through your account, except to the extent caused by RokaOS's failure to use reasonable safeguards.

You retain ownership of content you provide. You grant RokaOS a non-exclusive, worldwide, limited licence to host, copy, process, transmit, display, and adapt that content only as reasonably necessary to operate, secure, support, and improve the requested service.

You must have authority to provide guest, partner, family, vendor, contract, photo, and document information. Do not upload unlawful, infringing, malicious, unnecessarily sensitive, or misleading content. You are responsible for responding to people whose information you add and for forwarding correction or deletion requests where appropriate.

RokaOS organizes records and offers suggested tasks, budgets, cultural guidance, vendor matches, document extraction, and AI assistance. These features may be incomplete or wrong and are not legal, financial, religious, medical, tax, insurance, safety, or professional wedding-planning advice. Customs vary by family and institution; confirm requirements with the relevant family members, venues, religious institutions, vendors, and qualified professionals.

AI reads only authorized context and proposed writes require approval. Assistant memory is optional, limited to non-sensitive preferences, and saved only after an explicit user request and approval. Feedback does not automatically train or deploy a new model or prompt. You remain responsible for reviewing outputs, dates, calculations, contracts, prices, availability, and every approved action.

RokaOS provides discovery, inquiry, quote, shortlist, review, and planning tools. Unless a checkout expressly states otherwise, RokaOS is not a party to the contract between a couple and vendor and does not employ, control, or endorse vendors. Users must independently assess identity, licences, insurance, contracts, deposits, cancellation terms, quality, suitability, and safety.

Price ranges are guidance, not confirmed quotes. Availability marked unknown is unknown. Reviews reflect individual experiences. A verified badge means RokaOS reviewed specified evidence under its then-current process; it is not purchased and is not a guarantee. Sponsored results, if offered, will be labelled and separated from organic matching.

A request for a quote authorizes the selected vendor to use the provided contact and event information to respond to that request. It does not authorize unrelated marketing, resale, or reuse. Contracts, deposits, refunds, cancellations, delivery, and disputes with a vendor remain between the couple and vendor unless RokaOS explicitly provides a separately described payment or protection service.

Some features may require a subscription. Before purchase, checkout will disclose the service, CAD price, billing interval, taxes and other charges, supply timing, renewal, cancellation, refund policy, and an opportunity to correct errors. A receipt or contract copy will be sent after purchase. Vendor Pro purchases tools and entitlements; it never purchases verification or organic ranking.

The Subscription Terms form part of these Terms whenever a paid subscription is enabled. Live charges remain disabled until the checkout and operational gate passes.

You must not:

• bypass permissions, access another wedding, or probe private data;
• impersonate a person or vendor or submit false verification evidence;
• scrape, sell, or reuse guest, couple, lead, quote, or vendor data;
• manipulate reviews, rankings, inquiries, availability, or prices;
• upload malware or instructions intended to manipulate AI or extraction;
• harass, discriminate, threaten, or communicate unlawfully;
• reverse engineer or overload the service except where law permits; or
• use RokaOS for unlawful, deceptive, infringing, or fraudulent activity.

RokaOS and its licensors own the service, software, design, templates, and platform content, excluding user content. Subject to these Terms, RokaOS grants you a limited, revocable, non-transferable right to use the service for its intended purpose. Feedback may be used without restriction or compensation, but RokaOS will not publicly identify you as its source without permission.

RokaOS may remove content, limit features, suspend access, or terminate an account when reasonably necessary to protect users, investigate a complaint, comply with law, address non-payment, or enforce these Terms. Where appropriate, notice and an opportunity to respond will be provided. Serious security, fraud, or safety risks may require immediate action. Users may stop using the service and request deletion, subject to lawful retention and the deletion grace period.

Features and third-party services may change or experience outages. RokaOS will use reasonable efforts to operate, secure, back up, and support the service but does not promise uninterrupted or error-free availability. Material reductions to a paid service will be handled in accordance with the subscription disclosure and applicable law.

To the extent permitted by law, RokaOS is provided on an “as available” basis and disclaims implied warranties that may lawfully be excluded. Nothing in these Terms limits non-waivable consumer rights or liability that cannot legally be excluded. To the extent permitted by law, RokaOS and the people operating it are not liable for indirect, incidental, special, consequential, or punitive loss, lost profits, lost opportunities, vendor performance, wedding disruption, or decisions made from planning or AI output. RokaOS's aggregate liability arising from the service will not exceed the greater of CAD $100 and the fees the claimant paid directly to RokaOS in the 12 months before the event giving rise to the claim. This limit does not apply to fraud, wilful misconduct, or liability that applicable law does not permit RokaOS to exclude or limit.

You are responsible for claims arising from content you had no right to provide, unlawful marketplace conduct, misuse of another person's information, or your material breach of these Terms. A vendor is additionally responsible for claims arising from its services, personnel, quotes, contracts, taxes, licences, insurance, and legal obligations. RokaOS will provide reasonable notice and an opportunity to participate in the defence of an indemnified claim.

These Terms are intended to be governed by the laws of British Columbia and applicable Canadian federal law, without depriving consumers of mandatory protections in their home jurisdiction. Material changes receive a new version and renewed acceptance or notice where required. RokaOS is operated as a British Columbia, Canada service. Contact support@rokaos.com. Notices, complaints, and disputes should first be sent to that address so the parties can try to resolve the issue informally. A complete service address will be displayed in checkout and the contract copy before public charges are enabled.
